The Associate Program Director for the Penn Chief Learning Officer (CLO) and Med Ed programs is responsible for managing the administrative and operational aspects of the programs. This includes overseeing academic administration, facilitating logistics for teaching blocks and events, and supporting student advising and retention efforts; and, in collaboration with GSE senior leaders, overseeing student admissions and registration processes, marketing and promoting the programs. The role serves as a pivotal liaison among students, faculty, the program Director and external stakeholders to ensure the successful execution of the program's objectives.
Job Description - Coordinate and manage comprehensive academic administration activities including tracking program candidacy, overseeing doctoral examinations, processing master's ballots, and ensuring proper documentation and grading.
- Handle admissions inquiries, including I-20 facilitation for international students, assist with managing student billing and troubleshooting billing and loan issues, schedule calls with prospective students, host and attend virtual and in-person information sessions, and manage student onboarding and integration into the program.
- Organize logistics for teaching blocks, manage classroom reservations, coordinate hotel contracts, and arrange events such as cohort breakfasts and commencement celebrations.
- Advise students on academic progress, manage requests for leave of absence, and support with registration and graduation processes.
- Perform general administrative duties, including contract management, student worker oversight, and manage communication with all stakeholders.
- Oversee the Administrative Coordinator and Administrative Assistant, including management oversight and performance.
- Oversee payments (faculty and vendor), reimbursements, and budget control.
- Perform additional duties as assigned.
Qualifications ESSENTIAL:
- A Bachelor's degree and 3-5 years of experience or equivalent combination of education and experience.
- Three to five years in academic administration or program management.
- Leadership and team management experience.
- Proficiency in academic management systems and office software.
PREFERRED:
- A Master's degree in Education, Business Administration, or a related field.
